We redesigned ApplyGuide, ApplyBoard’s internal knowledge base, to make it easier for employees to find the information they needed and for the Knowledge Management team to keep it organized as the company grew. By rethinking the navigation, content structure, and design system, we created a more consistent experience that could scale without relying on designers or developers to maintain it.

The redesigned landing page, dark mode, section pages, and article sidebar mockups.

ApplyGuide was already starting to show its age. The design was becoming inconsistent, parts of the experience had drifted from the ApplyBoard brand, and the growing amount of content was making information harder to find. With the company growing quickly, the platform needed a visual and structural overhaul that could scale with it.

I led the redesign from concept through launch, working with stakeholders and the Knowledge Management team to understand how employees found information and, just as importantly, how KM created and maintained it. I designed the new experience in Figma and chose Bootstrap as the framework for the platform.

Using Bootstrap allowed me to create a consistent set of layouts and components that the KM team could use without needing to know how to code. I built a visual reference with ready-to-use patterns and classes they could copy and paste into articles, making it much easier to create new content without the design slowly falling apart over time.

The redesign also introduced a new homepage and navigation, improved content structure and accessibility, dark mode, dynamic tables of contents, and better ways to surface new and updated information.

After launch, a company-wide survey showed that 90% of employees responded positively to the redesign. More importantly, we had a system that could grow with ApplyBoard while giving the Knowledge Management team a simple way to keep the experience consistent without relying on a designer or developer for every update.
